OHIMA Policies & Benefits
OHIMA Policies & Procedures are listed below for you to reference and assist with your project.

There are two key policies pertaining to receiving reimbursement and obtaining benefits in return for your work as an OHIMA Board member. The following are highlights of these benefits:

Mileage Reimbursement (as part of Reimbursement Policy)

Eligible Board members - Officers, Directors, Delegates, Committee Chairs & Members, Project Leaders, and Regional Association Presidents.

Mileage allowance of $.35/mile for commuting to and from Board meetings* for those Board members not residing in the county in which the meeting is held.
*Excludes the 3/30/08 Board meeting preceding the OHIMA Annual Meeting.

To submit a request for mileage reimbursement, complete and submit the OHIMA Expense Statement.

Annual Meeting Fee Waiver

Eligible Board members - Officers, Directors, Committee Chairs, Project Leaders, Council Members, and Regional Association Presidents.

Please note: Because OHIMA sends delegates to summer Team Talks and the national meeting, delegates are not eligible to receive Annual Meeting fee waiver.

The following fee waivers will be granted for those in compliance with the Annual Meeting Fee Waiver Policy:

Officers & Directors - Entitled to all three days of their Annual Meeting registration waived.

Committee Chairs, Project Leaders, and Regional Association Presidents - Entitled to waive one day of the OHIMA Annual Meeting registration fee of his/her choice.

Council Members - At the discretion of the Council Chair, registration will be waived for the day of the council section meeting for Council Members directly involved with planning the Annual Meeting. The maximum allowable waived registrations is five for the Data Quality & Reimbursement Council and two for the Special Interest Council.

You must still register for the Annual Meeting even though you are waived. Submit your Annual Meeting registration form with "waived" in the amount column for the day(s) you are waived. If you are attending more than one day, include balance payment. Note that the $30 registration discount does not apply.

e-Newsletter Advertising Policy

to promote or sell products at the OHIMA Annual Meeting.



Consumer Education Campaign (PHR)
Explanation of the national campaign to educate the public on how to access, manage, and protect their personal health information.



OHIMA Annual Meeting Fee Waiver
Stipulates how to qualify to receive waived meeting registration at the OHIMA Annual Meeting.



OHIMA Annual Meeting Policy for Speaker Accommodations
Eligibility criteria for OHIMA Annual Meeting speakers who request overnight accommodations.



OHIMA Reimbursement Policy
To provide guidelines for reimbursement of expenses incurred by OHIMA members while conducting official business of the Association.



AHIMA Conference Reimbursement Policy
As a supplement to the Reimbursement Policy, a grid that summarizes the reimbursable expenses for those OHIMA representatives attending AHIMA events.



OHIMA Investment Policy
Provides pertinent financial guidelines including: dues rebate. record retention requirements, tax information, financial policies, and investment options.



OHIMA Data Quality Reimbursement Council Policy
Defines discounted meeting registration fee for active DQRC members.

Regional Associations Affiliation Agreement
To outline the relationship between OHIMA and Ohio Regional HIM Associations so that both parties understand their legal relationship and responsibilities.



Regional Associations Email List Policy
To establish guidelines for regional associations to communicate with the members in their region via an email list set-up and maintained by OHIMA.



Guidelines for CEs
Guidelines that allow state and regional HIM associations to approve CE programs they offer and to assign the appropriate number of clock hour credits.
